Outsourced archiving is particularly useful for documents that always need to be “at your fingertips”. Archivers visit customers’ offices, and based on their needs, organize files and then move them to the new site, where the documents can be found within ten minutes.

Secure information management
Omtra’s carefully selected Records Managers, take care of reordering and cataloguing unorganized archives without lists, and then send the customer a final recap file of the archive in Excel format. In addition, customers can consult their archive online on our website, visit the Records Center to consult their documents in a dedicated reading room or have them delivered by messenger or in electronic format. The reading room is equipped with a photocopy machine, scanner and assistants are on hand.

Privacy
The documents are stored in sturdy filing boxes with dust protection lids, suitable for shipping, and are marked with a bar code and sequential number. Therefore the archive is composed of anonymous boxes with no reference to the name of the customer or contents of the box. The boxes in the warehouse are ordered in rows. A bar code is also applied on each file or document. Thus the boxes and files can be easily and quickly retrieved.
Archives are retrieved from the shelves by staff whose names are recorded in the archiving program

Help Line
Immediate delivery of the archive boxes and single files is guaranteed, as is their being sent by fax and e-mail (by scanning the document).
