Optimization of office spaces
Accurate daily archiving of documents within its offices and entrusting its archive to an outside company, Records Center, are an intelligent solution for recovering and reusing spaces. A solution which ensures fast retrieval of documents, without wasting time searching, makes it possible to focus more on core business and customers.

Suitable spaces
The archives in companies and professional firms are often located in rooms like basements and attics, certainly not suitable for the capacity of the floor (1 cubic meter of paper can weigh up to 500 Kg) and be a high fire or flood risk, and not in compliance with Fire Department regulations. Outsourced archiving is particularly useful for documents that always need to be “at your fingertips”. Archivers visit customers’ offices, and based on their needs, organize files and then move them to the new site, where the documents can be found within ten minutes.

Secure information management
Omtra’s carefully selected Records Managers, take care of reordering and cataloguing unorganized archives without lists, and then send the customer a final recap file of the archive in Excel format. In addition, customers can consult their archive online on our website, visit the Records Center to consult their documents in a dedicated reading room or have them delivered by messenger or in electronic format. The reading room is equipped with a photocopy machine, scanner and assistants are on hand.

Privacy
The documents are stored in sturdy filing boxes with dust protection lids, suitable for shipping, and are marked with a bar code and sequential number. Therefore the archive is composed of anonymous boxes with no reference to the name of the customer or contents of the box. The boxes in the warehouse are ordered in rows. A bar code is also applied on each file or document. Thus the boxes and files can be easily and quickly retrieved.
Archives are retrieved from the shelves by staff whose names are recorded in the archiving program

Immediate delivery of the archive boxes and single files is guaranteed, as is their being sent by fax and e-mail (by scanning the document).

By storing and keeping vital documents and magnetic cassettes in fireproof safes or vaults, the protection of data is ensured in areas adequately equipped with fire detection systems and protection against theft and intrusion from the outside. IP 67 – The IP (Ingress Protection) rating defined in international standard IEC 60529 classifies the level of protection that is provided against the intrusion of solid objects or dust, accidental contact, and water. The first digit indicates the level of protection that the enclosure provides against access to hazardous parts and the ingress of solid foreign objects. Gli archivi interni alle aziende e agli studi professionali sono spesso situati in ambienti come cantine e solai, certamente non idonei per la portata del pavimento (1mc di carta può pesare fino a 500 Kg) e ad alto rischio d’incendio e di allagamento, senza il rispetto delle Normative dei Vigili del Fuoco. Gli archivisti visitano la sede del cliente e, in base alle sue esigenze, organizzano i raccoglitori trasferendoli poi nella nuova sede, dove i documenti sono rintracciabili, anche entro dieci minuti, da Omtra scansionabili e scaricabili dal cliente via web documenti singoli o raccoglitori interi

Sicurezza nella gestione delle informazioni

Records Manager di Omtra, altamente selezionati, si occupano del riordino e della catalogazione degli archivi disordinati e senza elenco, successivamente inviano al cliente un file finale riepilogativo dell’archivio, in formato Excel. Inoltre, il cliente può consultare il proprio archivio direttamente on line sul sito web o recarsi presso il Records Center per la consultazione dei documenti nell’apposita sala lettura, o riceverli fisicamente tramite fattorino od in formato elettronico. La sala di lettura è attrezzata con fotocopiatrice, scanner ed assistenti.

Privacy
I documenti sono custoditi in robuste scatole d’archiviazione con coperchio antipolvere, adatte anche al trasporto, sulla quale viene applicato un codice a barre ed un numero progressivo. L’archivio è pertanto composto da scatole anonime senza alcun riferimento al nome del cliente o al contenuto della scatola. Le scatole in magazzino sono ordinate per file. Un codice a barre viene applicato anche su ciascun raccoglitore o documento.
Le scatole e i raccoglitori, quindi, sono facilmente e velocemente rintracciabili, tramite software americano (il piĂą utilizzato nel mondo).
I prelievi dalla scaffalatura dell’archivio sono eseguiti da personale il cui nome viene registrato nel programma di archiviazione

The new practical box is one of the latest additions to our products

The box is used to house documents and similar office items, and is suitable for archiving the most confidential documents, thanks to a security seal placed on its handle.

The box also acts as a practical and sturdy container for shipping in a secure and protected manner, for single documents and similar items; it can also contain a suitably sized holder for ensuring an orderly arrangement of the documents.

This is an extremely useful bag where documents can be inserted from a side opening of the box without having to open the box; the box needs to be opened to extract the documents, and the security seal broken, if applied.

Inexpensive to create and easy to assemble, with clear advantages in terms of cost and practicalness for the user, the new Omtra box costs one third of the normal containers found on the market.
The new Omtra box also includes areas on the surface which can be written on, thus the user can fill in preprinted fields creating a classified internal archive. The contents, level of confidentiality and access, date of expiration and destruction of the documents or stored archive material can be written on the box; a field is reserved for the bar code produced by the archiving program.
